  • Overview

    The Orthopedic Business Office Supervisor is responsible for daily administrative operations, support for clinical operations, facility management and emergency planning within the Orthopedic Center.

    Responsibilities

    1.      Supervises and prioritizes daily work of administrative assistant and patient access staff

    For assigned areas of responsibility:

    ·         Monitors staff work assignments are completed in a timely and accurate manner

    ·         Creates and maintains schedule for administrative assistants and patient access staff

    ·         Monitors staffing levels and adjusts accordingly to meet operational needs

    ·         Completes annual performance appraisals for assigned staff and validates annual competencies

    ·         Maintains annual competencies, job descriptions, and employee files

    ·         Responsible for screening, interviewing, and hiring applicants

    ·         Responsible for training; prioritizing tasks, serving as a resource and role model; evaluating performance and taking corrective action.

    2.      Oversees Quality Improvement & Compliance

    ·         Ensures staff are trained and competent in policies and procedures in order to create a safe day every day for our patients and staff

    ·         Conducts routine drills to ensure compliance

    ·         Ensures facilities are compliant with EOC, TJC, and ODH guidelines/regulations

    ·         Ensures staff are trained and competent in EOC, TJC, and ODH guidelines/regulations

    ·         Ensures appropriate infection control policies and procedures are observed by staff and audits are completed accurately and in timely manner

    3.      Assists Operations Manager and Service Line Administrator in maintaining efficient patient flow operations

    ·         Coordinates with surgical teams regarding billing disputes, clinic flow and quality improvement initiatives.

    ·         Resolution of customer service concerns

    4.      Oversees facility management functions, which includes:

    ·         All technical and administrative aspects associated with building repairs and maintenance, housekeeping, landscaping, parking lot supervision, security, telecommunication, and information services for the Orthopedic Center

    ·         Supplies; inventory control and management

    ·         Parking lot supervision

    ·         Maintains a clean, safe patient care and workspace environment

    ·         Ensures work orders are addressed in a timely (and quality) manner

    ·         Coordinates routine and emergency maintenance or repair of equipment

    ·         Coordinates Emergency Planning activities

    Qualifications

    KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

    1.            Minimum of three to five years secretarial experience; medical and/or facility management work experience preferred

    2.            Two years of office management or supervisory experience preferred

    3.            Two years of facility management preferred

    4.            Skills in operating a personal computer, and word processor.  Must be familiar with various software packages (e.g., Word, Excel, and PowerPoint).  Ability with Access preferred

    5.            Excellent teamwork and communication skills

     MINIMUM PHYSICAL REQUIREMENTS

    Percent of time spent on:

    80% Business operations to support clinical operations

    20% Facilities management

     

    Minimum physical requirements:

    100%     Kneeling / reaching

    100%     Finger dexterity

    100%     Talking / hearing / seeing

      33%      Lifting / carrying weight 0-20 pounds for 1-5 minutes

      33%      Pushing a cart with weight 50-100 pounds for 5-10 minutes
