    Coordinates and maintains the Emergency Medicine physician schedule for the Onsite & Offsite Urgent Cares. Evaluates and trends census patterns to identify fluctuations in staffing needs. Other job tasks assigned.

    Responsibilities

    • Have a working knowledge of all aspects of the scheduling criteria/model for the onsite & Offsite Urgent Cares.
    • Evaluates and trends census patterns to identify fluctuations in staffing needs. Identify and recommend staffing changes to the Urgent Care Director of Emergency Medicine.
      -Responsible for staffing open shifts with moonlighters.
      -Maintains the online scheduling system Intrigma.
    • Will work closely with the Main Campus/Lewis Center ED Scheduling Coordinator.
    • Process 48 hour death reports.
    • Coordinate and schedule all Urgent Care candidate interviews.
    • Schedule all Urgent Care meetings.
    • Process attendance sheets.
    • Keep Access database up to date with doctors credentials.
    • Assistant doctors with subpoenas, could include communication with prosecuting attorney’s.
    • Support Urgent Care Director, Urgent Care Co-Director, along with all the urgent care doctors and general ED doctors and their activities which may include compiling data, create spreadsheets, letters, and reporting updates on licenses and other dated materials/ completing documentation/creating power points for lectures or teaching/ set meetings dates/times and arrange for travel including hotel and registration for meetings as part of an exhaustive listing of tasks as they relate to:
      Administrative activities for NCH, PAA and OSU
      Medical staff maintenance
           Promotion and Tenure
           Track Section Faculty presentations for Promotion and Tenure
           Research and teaching
           Setting meetings/travel plans
           May track all OSU monthly attendance reports for Section physicians by ensuring the PAA physicians have completed these on a monthly bases, enter into our office database, and submit to PAA by the set deadline.
    • May handle PAA enrichment forms for physicians including completing form, obtaining chief’s signature, keeping office copies, submitting for administrative signatures.
    • Assists in answering office phones. Helps in mail and fax distribution by sorting, delivering or re-routing mail or fax forms. Faxes script requests to appropriate clinics that physicians work. Helps in keeping office area neat and organized
    • Other job tasks assigned.

    Qualifications

    MINIMUM KNOWLEDGE, QUALIFICATIONS, AND EXPERIENCE

    • High School diploma, Associates degree or college coursework preferred.
    • Effective interpersonal skills required in interactions with internal and external contacts.
    • Experience in Microsoft Excel and Outlook.
    • Strong organizational skills, verbal and written communications skills, documentation, and time management.
    • Demonstrates dependability and flexibility.
    • Ability to work independently under minimal supervision

    Preferred QUALIFICATIONS AND EXPERIENCE:

    • 5+ years clerical experience desirable.
    • Experience in scheduling/staffing preferred
    • Experience in health care setting preferred

    MINIMUM PHYSICAL REQUIREMENTS:

    • Sitting 
    • Talking on the phone/in person Constantly
    • Typing on a computer keyboard Constantly
    • Standing/walking Occasionally (0-33%)
